We want the Services to be worth far more than they cost. This policy explains how to cancel and when refunds apply. It forms part of our Terms of Service.
1. Cancelling your plan
- You can cancel at any time by emailing support@ringautomations.com from the address on your account, or from your client portal.
- We ask for 7 days' notice so we can cleanly route your calls back to your existing setup and, if you wish, port your number back to you.
- When you cancel, your plan stays active until the end of the current billing period. You will not be billed for the next cycle.
2. Monthly retainer refunds
- Monthly retainer fees are billed in advance and are generally non-refundable once the billing period has begun, because your phone line, minutes, and support are reserved for that period.
- If you cancel mid-cycle, your AI agent keeps working until the end of the period you already paid for. There are no partial-month refunds, but there are no further charges.
3. One-time setup fee
- The one-time setup fee covers number provisioning, script and voice build, training, and go-live work performed by our team.
- Before onboarding work begins, the setup fee is fully refundable on request.
- Once onboarding work has started, the setup fee is non-refundable, because the work has been performed. If we are unable to get your agent live due to a fault on our side, we will refund the setup fee in full.
4. Our go-live guarantee
If we cannot get a working agent live for your business within a reasonable time due to our own technical limitations — and not due to missing information or access from your side — you are entitled to a full refund of any setup fee and the current month's retainer.
5. Overages and add-ons
If your plan includes a set number of minutes and you consistently exceed them, we will recommend moving to a higher tier rather than billing surprise overages. Any agreed overage or add-on charges are non-refundable once incurred.
6. Duplicate or erroneous charges
If you believe you were charged in error or charged twice, contact support@ringautomations.com within 30 days and we will investigate and correct any genuine billing error promptly.
7. How refunds are issued
Approved refunds are issued to the original payment method via our payment processor (Stripe). Refunds typically appear within 5–10 business days, depending on your bank.
8. Chargebacks
Please contact us before filing a chargeback — we can almost always resolve billing issues faster directly. Fraudulent chargebacks may result in suspension of the Services.
