This Privacy Policy explains how Ring Automations ("Ring", "we", "us") collects, uses, shares, and protects information when you use our website and AI voice receptionist services (the "Services").
1. Information we collect
Information you provide
- Account details: name, business name, email, and password.
- Billing details processed by our payment processor (we do not store full card numbers).
- Business configuration: service area, scripts, pricing rules, and FAQs you give us.
Information from calls handled by your AI agent
- Caller phone number, call timestamps, and duration.
- Call audio recordings and transcripts.
- Details a caller provides to book or triage a job (e.g., name, address, issue).
Information collected automatically
- Usage and device data (pages visited, browser type, IP address).
- Cookies and similar technologies, including privacy-respecting product analytics.
2. How we use information
- To provide, operate, and improve the Services;
- To answer calls, book appointments, and send confirmations on your behalf;
- To process payments and manage your subscription;
- To provide support and communicate with you about your account;
- To detect, prevent, and address fraud, abuse, or security issues;
- To comply with legal obligations.
3. Call recording and consent
The Services may record and transcribe calls so they can be logged in your dashboard. You are responsible for ensuring appropriate notice and consent for call recording in the jurisdictions where you and your callers are located. We can help configure a recording disclosure into your agent's greeting on request.
4. How we share information
We do not sell your personal information. We share data only with:
- Service providers (subprocessors) that power the Services — for example, cloud hosting, database, telephony, speech, and AI providers — under contractual confidentiality and security obligations.
- Payment processor (Stripe) to handle billing.
- Authorities when required by law, subpoena, or to protect rights and safety.
- A successor entity in connection with a merger, acquisition, or sale of assets, subject to this Policy.
5. Data security
We use administrative, technical, and physical safeguards designed to protect your data, including encryption in transit and at rest. No method of transmission or storage is 100% secure, but we work to protect your information and limit access to those who need it.
6. Healthcare / HIPAA
For dental and other healthcare customers, we can enter into a Business Associate Agreement (BAA) and operate on a HIPAA-aligned infrastructure stack. Protected health information is minimized — the agent only collects what is needed to schedule. Contact sales@ringautomations.com to put a BAA in place.
7. Data retention
We retain account and call data for as long as your account is active and as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. On cancellation, you may request export or deletion of your call data as described below.
8. Your rights and choices
- Access, correct, or delete your personal information;
- Export your call logs;
- Opt out of non-essential analytics cookies;
- Depending on your location, additional rights under laws such as the CCPA/CPRA or GDPR.

9. Children's privacy
The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children.
10. International users
The Services are operated from the United States. If you access them from outside the US, you consent to processing of your information in the US.
11. Changes to this Policy
We may update this Policy from time to time. We will post the updated version here and update the "Last updated" date, and notify you of material changes.
